Initiating a Technology Project Request

Task

This article provides faculty and staff with a step-by-step guide to submitting a Project Request Form in TeamDynamix (TDX) to initiate a new technology project or enhancement. It ensures that all necessary information is provided for Information Technology Services (ITS) to evaluate, prioritize, and plan the request effectively.

Instructions

  1. Open the Project Request Form.

  2. Complete the following sections with the required information. For each section, select "Save" and then "Complete" to mark it as finished.

    • Business Process Overview: Describe the current process and what needs improvement.
    • Client Information: Identify the requesting department or team.
    • Business Unit Leadership: List leaders who support or oversee the request.
    • Contact Information: Provide the main point of contact for the project.
    • Business Case: Explain the need for the project and expected benefits.
    • Goals & Definition of Done: Define what success looks like and how completion will be measured.
    • Readiness: Indicate how prepared your team is to begin (resources, support, constraints).
  3. Attach any relevant files under the “Files” section (e.g., process maps, documentation).

  4. Once all sections are completed, click "Submit" to send the request to notify ITS.

  5. After submission, your request will move through the following steps:

    1. Client Request Submitted – Business Relationship Management (BRM) team begins an initial review. 

    2. Unit Leadership Approval – Your business unit leadership reviews and approves the request.

    3. Client BRM Collaboration – BRM works with you to clarify needs and expectations.

    4. Business Requirements Analysis Complete – BRM finalizes business requirements.

      • Note: If the Business Requirements cannot be completed, ITS may recommend one of the following actions:
        • The request may be fulfilled through an existing service offering instead of a new project.
        • The client will be informed that the request is being placed on hold.
        • The client will be advised to engage Procurement to initiate an RFI (Request for Information) or RFP (Request for Proposal) process.
    5. Project Scoring – BRM evaluates the project based on impact and priority.

    6. Technical Narrative – Enterprise Architect reviews request to determine if a technical draft is needed.

    7. Technical Narrative Approval – The technical plan is reviewed and approved.

    8. Technical Requirements & Functional Roles – Enterprise Architect defines technical needs and team roles.

    9. Request Completion – Project Management Office (PMO) finalizes the request and prepares for project launch.
