Task
In the Campaigns module, creating a campaign is a streamlined process that allows you to send emails to more than one student at a time.
Prerequisites
- Access to the MyConnect platform.
- Basic knowledge of campaigns and communication channels (Email, SMS, Push Notifications).
- A defined Audience (Segment) for targeting.
Instructions
- Creating a Campaign from a Template
- Go to Engagement > Campaigns > One-Time Communications in the main navigation menu.
- Click the +New Communication button in the top right corner.
- Give your email campaign a title that you will remember. This will help you find it later to duplicate and reuse and/or to see email performance analytics.
- In the Choose Template section, select Custom. Select the appropriate template from the list.
- Text Only Template-Single Column is the generic template and contains step-by-step instructions for configuring the email.
- *If using a template, skip to Step 3.
- Duplicating an Existing Campaign (alternative to using a template)
- Go to Engagement > Campaigns > One-Time Communications in the main navigation menu.
- Use the search bar to find an email by its title or by clicking on the title to see a preview of the content. (Hit the back button to return to the list of options.)
- To duplicate an email, click the three dots on the right that correspond with the email you would like to work from and select Duplicate.
- Click on the Copy of the email you created and select Edit in the top right corner.
- Rename your email (top).
- Optional: Add tags to easily filter campaigns in the future.
- Configure Communication Settings
- Communication Type: Select One-Time as the communication type.
- Channels: Choose Email for the campaign channel.
- SMS messaging is designated for one-to-one communication under the Conversations menu.
- Push notifications are a feature of the Student Hub.
- Audience: Select your target Audience or Segment for this campaign.
- Configure Email
- Subject Line: Use clear, concise subject lines with keywords that highlight the email’s purpose. Personalization can be added by clicking Add Token.
- Note: The token [user:preferred_name, fallback=user:first_name] will look first for a student’s preferred name and, if none exists, default to first name. Using the [user:first_name] token will pull a student’s legal first name only.
- Preview Text: This text displays in a recipient’s inbox and should not be left blank. No longer than one sentence; these tend to be truncated after 3-4 words in a student’s inbox.
- Email: Click on the two arrows pointing away from each other to maximize the editing window. Use the email builder to customize your content, ensuring it fits your message and audience needs.
- If you copy and paste into the text boxes, you can format the font to Libre Baskerville by clicking on the A with the three dots next to it (More Text).
- Insert hyperlinks by highlighting the text you would like to link and using the text editor or CTRL +K.

Advanced Settings:
- Send To: Make sure that you are sending to the student’s school email address.
- Sender Name: Who should this appear to be coming from? PRO TIP- This is the first thing a recipient sees in their inbox and often determines open rate.
- Sender Email Address: Email address that will show up in the recipient’s inbox. This is a dropdown field; if you do not have a sender profile on this list, you will need to request one.
- Reply Address: This inbox should be prepared to receive questions/comments in response to the campaign.
- CC/BCC: Recipients entered here will receive an individual copy of every email in your segment (not the typical one copy you would receive in Outlook).
- Save, Preview, and Test Send/Save Your Campaign
- Edits to your campaign Save automatically.
- Preview your campaign to ensure it looks and works as expected.
- Send yourself a test to make sure it looks the way you would like it to look in a student's inbox.
- Send the test by entering your email address; DO NOT select send to a segment.
- Send Your Campaign
- Choose how you want to send the campaign:
- Send Immediately: Click Send to deliver the campaign right away.
- Schedule: Choose a future date and time to send the campaign.
- Save: With the campaign auto-saved, come back and send it whenever you are ready.
- Campaign Statuses:
- Draft: The campaign has not been sent yet.
- Reserved: The campaign is queued for sending.
- Sending: The campaign is in progress.
- Sent: The campaign has been successfully delivered.
If your campaign is stuck in "Reserved" or "Sending" for more than 30 minutes, try resending it or contact the Service Desk to open an Incident.
Need a template that isn’t available yet?
If you need an email built that doesn’t work with a template that already exists, please complete this MyConnect Email Campaign Request Form. Please allow at least two business days for these requests to be complete; more complex builds may require more flexibility.
Outcome
After completing these steps, your campaign will be successfully created, configured, and either sent immediately or scheduled for later delivery. You'll also be able to track its performance in the Insights menu, by selecting Campaigns.
